Membership management for organizations that already use HubSpot
Short answer: Yes, you can add membership management without replacing HubSpot. VerveHQ is membership software for chapters, associations, and small nonprofits. It runs the day-to-day membership work, including the roster, event attendance, guests, dues, reporting, and AI insights, and it pushes your contacts and the fields you map into HubSpot. The sync runs daily, is one-way (VerveHQ to HubSpot), and matches records by email, so HubSpot stays your CRM for marketing, outreach, and relationship tracking. VerveHQ is built for a chapter staff of about three, so you don't need an enterprise CRM rollout to get there.
VerveHQ (vervehq.org) is the membership CRM made by Synctuary Works LLC. It is not the vervehq.co marketing and growth agency.
How the HubSpot integration works
- Run membership in VerveHQ. Import your roster and start on the dashboard. Members, guests, prospects, and former members live together in one workspace.
- Connect HubSpot. Connect your HubSpot account with an API key from a custom app in HubSpot. It works with any HubSpot plan that supports custom apps / API access.
- Map your fields. Choose which VerveHQ fields, including engagement data, map to HubSpot contact records.
- Match by email. VerveHQ matches people to HubSpot contacts by email address. If no HubSpot contact matches, a new contact is created, and HubSpot flags it as a duplicate.
- Daily push. Once a day, VerveHQ pushes all contacts (members, guests, prospects, and former members) and your mapped fields into HubSpot. Saved member segments can also become HubSpot lists.
- Keep working in both. Chapter staff keep running roster, attendance, and dues in VerveHQ. Your marketing or development team keeps using HubSpot workflows, lists, and email on records that now reflect membership activity.
What syncs to HubSpot
| Data | Direction | Notes |
|---|---|---|
| All contacts (members, guests, prospects, former members) | VerveHQ → HubSpot | Daily. Matched to HubSpot contacts by email; unmatched emails create a new contact, which HubSpot flags as a duplicate. |
| Mapped fields, including engagement data | VerveHQ → HubSpot | Whatever the chapter maps to HubSpot contact records. |
| Saved member segments | VerveHQ → HubSpot lists | Saved segments can become HubSpot lists. |
| HubSpot → VerveHQ | Not currently available | The sync is currently one-way only. |
What stays in HubSpot and what lives in VerveHQ
| HubSpot (your CRM) | VerveHQ (your membership workspace) |
|---|---|
| Your CRM and contact records | Membership roster with members, non-members, and former members together |
| Marketing email, automation, and workflows | Event attendance: who showed up, members next to guests; imported scans or spreadsheets |
| Sales or relationship pipelines you already run | Dues, event revenue and cost, and a Finance tab with finance-only access |
| Your existing HubSpot integrations | Editable dashboards, custom charts, and board PDF exports |
| Native AI insights on churn, attendance, and engagement | |
| Basic branded email from the roster (with volume caps), roles, and per-workspace feature flags |
Who it's for, and when it's not a fit
A good fit if:
- You're a chapter, association, or local nonprofit that already uses HubSpot and wants to keep it.
- Your HubSpot plan supports custom apps / API access.
- A small staff (about three people) runs membership, events, and dues.
- You track guests and lapsed members, not just paying members, and want to see who keeps showing up.
- You want membership and engagement data in HubSpot without retyping contacts.
Probably not a fit if:
- You need two-way sync, with HubSpot edits flowing back into membership records. VerveHQ's HubSpot sync is currently one-way only.
- You need real-time sync. The HubSpot sync runs daily.
- Your main job is fundraising and donor management. The VerveHQ site doesn't list donor or fundraising features.
- You want a self-serve signup today. VerveHQ starts with a demo, and access to a live workspace is invite-only.
- You need a website builder or a large off-the-shelf integration marketplace.
Other connectors
HubSpot works alongside VerveHQ's other connectors: Constant Contact (push segments, optional contact pull), SimpleTix (live order and door-scan webhooks), Google Analytics (GA4), custom REST (your JSON endpoint, on a schedule), and an inbound webhook for other systems.
